Most businesses nowadays couldn’t function without email communication, and as a result of that, the sheer volume of emails received throughout a working day often leads to a cluttered inbox. One of the most widely used email services for businesses, Microsoft Outlook, has a number of features to help you keep your inbox tidy and therefore boost productivity.
Organise your emails with folders and rules
You may already be using folders to organise your emails but are you still doing this manually? Did you know you can set up Outlook rules that will automatically organise emails into folders based on a chosen variable such as subject line, sender, or who they’re sent to. By setting these up you can keep your inbox tidy and effectively manage your communications.
Leave email chains that are no longer relevant
Ever been CC’d into what seems to be a never-ending email chain that no longer is relevant to you? An easy way to deal with this is to go into the email thread or conversation you no longer wish to be a part of and right click on it, then click ignore. Any future emails from this chain will then be deleted immediately instead of taking up space in your inbox.
Email conversations
If you have long email chains that you don’t want to leave or file away, Outlook offers a handy feature to minimise how they display in your inbox. By selecting ‘show as conversations’ in the view tab, your email conversations will be grouped, minimising the space they take up in your inbox.
These Outlook features can help you and your team work more productively by keeping your inbox tidy. If you need help with implementing Microsoft 365 into your business, contact us! We can help with both implementing and supporting Microsoft 365 solutions.
